Refund & Cancellation Policy
Last updated: 26 October 2026
This policy explains how cancellations and refunds work for trips booked through TripBouquet. Travel is arranged with third-party suppliers — airlines, hotels, resorts, transport operators, local agencies, cruise lines, activity providers and government visa authorities — and each has its own booking and cancellation terms. Once your trip is confirmed, those supplier terms govern what can and cannot be refunded. Please read this carefully before you pay, and ask us anything that isn’t clear.
1. The short version
In travel, a large share of costs is committed to suppliers the moment a booking is confirmed, and much of it is non-refundable. Airfares, non-refundable hotel rates, visa fees, permits and peak-season or promotional bookings typically cannot be refunded at all. We will always tell you, in writing and before you pay, which parts of your trip are refundable and which are not.
2. Advance payments & planning fees
To confirm a trip we collect an advance (and, closer to travel, the balance). The advance covers non-recoverable costs we commit on your behalf — supplier deposits, blocked inventory and the planning work already done — and is non-refundable except where a supplier refund is genuinely available to us.
3. If you cancel
Cancellations must be sent to us in writing (email is fine) and take effect from the date we receive them. Charges depend entirely on the suppliers involved and how close to departure you cancel. As a general guide, the closer to travel you cancel, the higher the charge — often up to 100% of the trip cost. Where a supplier does allow a partial refund, we pass on whatever we actually recover, after deducting:
- any cancellation charges levied by airlines, hotels and other suppliers;
- non-refundable fees already paid (visa fees, permits, insurance, event tickets);
- bank, payment-gateway or foreign-exchange charges that cannot be reversed;
- our service/management fee for planning and coordinating the trip.
4. Non-refundable components
These are almost always non-refundable, regardless of when you cancel:
- flight tickets and airline fees (unless the fare rules specifically allow a refund);
- non-refundable and promotional hotel or resort rates;
- visa fees and any government or embassy charges;
- cruises, rail passes, permits, park fees and pre-booked event or show tickets;
- any service already used or partially used.
5. Amendments
Changes to dates, hotels, room types or travellers after confirmation are subject to availability and to any date-change or amendment fees charged by suppliers, plus a difference in price if rates have changed. We’ll always confirm the revised cost before making a change.
6. No-shows & unused services
If you do not show up for a flight, hotel, transfer or activity, or you leave a trip early, no refund is due for the unused portion.
7. If a supplier or we cancel
In the rare event that a supplier cancels a confirmed service, or we are unable to deliver a booked component, we will offer you a suitable alternative of equivalent standard where possible, or a refund of the amount we are able to recover from suppliers for that component. Our liability is limited to the value of the affected services.
8. Force majeure — events beyond our control
Certain events may occur beyond the control of TripBouquet Private Limited, our guests, or our service providers, including but not limited to adverse weather conditions, natural disasters, flight delays or cancellations, strikes, airport or road closures, political unrest, civil disturbances, government advisories, epidemics or pandemics, changes in visa or entry regulations, and other unforeseen circumstances that may affect travel arrangements.
In such situations, TripBouquet will make reasonable efforts to assist guests with rebooking, rescheduling, or arranging suitable alternatives, subject to availability and the applicable policies of the respective airlines, hotels, and other service providers.
Any refund for affected services will be subject to the refund policies and amounts approved by the respective service providers. Where a supplier does not provide a refund, TripBouquet shall not be responsible for reimbursing the non-refundable amount from its own funds, except where required by applicable law.
9. Flight cancellation, rebooking & refund policy
In the event of a flight cancellation by the airline, the airline may offer eligible passengers the option of an alternative flight, rescheduling, or a refund, in accordance with its applicable policy and fare conditions.
- Alternative flight or rescheduling: If the airline offers a suitable alternative flight or permits rescheduling, the guest may choose from the options made available by the airline, subject to availability and any applicable fare difference or additional charges.
- No suitable alternative available: If the original airline cannot provide a suitable alternative flight and the guest chooses to accept a refund and book a new ticket with the same or another airline, the new ticket will be priced at the prevailing fare at the time of booking. The original ticket refund, even if approved by the airline, cannot be adjusted against or treated as an immediate payment towards the new ticket.
- Payment for a new ticket: The guest must pay the full cost of the replacement ticket upfront before the new booking can be confirmed. The replacement ticket will be subject to availability and the fare applicable at the time of booking.
- Processing of the original ticket refund: Any refund due for the cancelled original ticket will be processed or passed on to the guest only after the refund has been received from the airline or the relevant booking provider. The refund amount and processing timeline will depend on the airline’s decision and procedures.
- Fare differences and additional expenses: Any increase in airfare, additional taxes, booking charges, accommodation costs, transfers, meals, or other expenses arising from the disruption or replacement arrangements will be payable by the guest unless otherwise confirmed in writing by the relevant service provider or TripBouquet.
- Guest decisions and delays: Guests are advised to make timely decisions when alternative arrangements are offered, as fares and availability may change rapidly. TripBouquet will assist with available options but cannot guarantee the availability, price, or confirmation of replacement services.
TripBouquet will endeavour to provide reasonable assistance throughout the disruption. However, the extent of any refund, compensation, or alternative arrangements will depend on the applicable supplier policies, booking conditions, and relevant laws.
10. Travel insurance
Because so much of a trip’s cost becomes non-refundable once confirmed, we strongly recommend comprehensive travel insurance that covers cancellation, medical emergencies, delays and lost baggage. Insurance can protect you against many of the situations this policy cannot.
11. How refunds are paid
Where a refund is due, it is calculated only after the relevant suppliers have refunded us, and is paid to the original payment method within a reasonable period thereafter (typically 7–14 business days from our receipt of the supplier refund). Refund amounts are in Indian Rupees; any exchange-rate difference on international payments is not something we can absorb.
12. How to request a cancellation or refund
Email support@tripbouquet.com or call/WhatsApp us at +91 73031 93848 with your booking details. We’ll confirm the applicable charges and any refund due in writing before anything is finalised.
